Preparing your project to go on-site (inc. variations)
Once your client has accepted your tender we recommend reviewing your assessment(s) and making any final amendments so that it matches the contract before clicking the button to accept the tender in Chalkstring.
When you have completed your checks, you can click the Accept button on your tender and this will create an on-site version of the project data called Project hub with some additional features.
At this stage the rates to your client in your assessments will be locked and you can start to update your material and labour costs with any improved rates you may have.
This tutorial covers how to complete a post tender review including how to add variations once the tender has been accepted.
If you work with Lump Sum contracts we also recommend reading this article covering how lump sum contracts are managed with Chalkstring.
✅ Great job! You are now ready to start ordering materials!
Procurement
When your project begins on-site you will start to order materials. Chalkstring uses the materials specified in the assessment(s) to provide a material bill from which you can raise orders and track deliveries and purchase invoices.
These tutorials cover the features within the material bill section and also how to manage fixed cost orders and invoices.

- Logging deliveries
- Processing material invoices
- Fixed cost orders and invoices
📦 Outstanding! Materials are on their way and work has begun. Let's move on to logging progress and raising applications for payment!
Progress & applications for payment
You can use Chalkstring to generate your applications for payment. This is managed by logging progress for each of the items in the assessment.
Based on the progress Chalkstring will calculate your outgoing application for payment and the remaining materials on-site.
These tutorials cover how to log progress and how to generate an application for payment.
💰 Impressive! You have now logged progress on-site and started raising applications
Labour costs/invoices
As work is completed you may begin to receive labour invoices or want to track labour costs.
This tutorial covers how to manage labour costs through the labour bill.
👨🔧 Terrific! That's labour costs logged. Let's look review the project hub, project dashboard and other reports.
Project reports
As your project progresses an overview of the current position of the live project compared to the tendered project can be found in the Project hub.
This tutorial covers how to analyse the charts and tables in the Project hub for your project.

If you want to compare or report on multiple projects then you can do this from the Dashboard in the black menu.
This tutorial explains the data on the Dashboard page.
You may also need to extract reports on orders, invoices, applications and labour invoices. You can do this from the Accounts section in Chalkstring.
This tutorial covers how to filter and extract accounting information for one or more projects.
🎉Congratulations! You have now covered all of the key on-site features in Chalkstring.
