What are fixed cost items?
The 'Fixed Cost Items' page provides a clear, table-based view of every individual fixed-cost order line item so you can easily track and update delivery dates, hire/off-hire references, actual end dates and costs. It displays all items from orders marked as Sent (excluding cancelled orders) and gives you full filtering, sorting and bulk-update tools to manage status and expenditure.
The fixed cost item table
The table displays every individual fixed-cost sub-item from your 'Sent' orders in a single, scrollable view. From here you can select, filter, sort and update items—either one by one or in bulk.
A. Filters
Data can be filtered further by using the search and filters boxes.
B. Fixed cost line items
Each item within a fix cost order is listed out in the table along with it's associated information. Any item within an order where the status has been marked as sent (excluding cancelled orders) will displayed.
C. Edit item
Click the edit button for an item to update the item details including delivery dates, period, actual end dates and on-hire/off-hire references.
D. Total cost
Details the total cost of each item. If daily hire costs were selected when the order was confirmed, it will show an ongoing cumulative daily cost total for the item with a coloured status indicator.
Colour | Meaning |
---|---|
🟢 Green | Final cost confirmed. This will display green for an item where the unit is lump-sum or where an actual end date has been entered and reached. |
🟠 Orange | This is ongoing. The cost displayed will show the current accumulated cost until the 'Est. end date' is reached. |
🔴 Red | This cost has exceeded the estimated end date and no actual end date has yet been specified. |
E. Bulk update
Costs can be updated like shown in section C. above but in bulk. Ticking the boxes on the left hand side for the items you wish to bulk update and then clicking 'Bulk update' will display the edit window to allow you update multiple items simultaneously.
F. Edit columns
Clicking the 'cog' icon will allow you to choose which columns will be displayed on the fixed cost item table. This allows you to show or hide the information most relevant to you.
G. Export current items
Click 'Export current items' to export the current filtered list of items displayed in the table to excel.
The fixed cost item table columns
Column | Section |
Order number and name | Displays the order number associated with the item and the name of the item |
Assessment | Displays the assessment the item is associated with |
Supplier | Displays the supplier the item has been ordered from |
Auto calc | If a tick is displayed, the costs are being automatically calculated |
Unit, Cost/unit (£) | Displays the current unit (Daily, Weekly, Lump Sum, etc.) for the cost and the cost per unit. |
Delivery date | Shows the date the item is scheduled to arrive or go on hire |
Est. end date | Displays the current estimated end date and is calculated from the current delivery date + the order period. |
Est. period/Est. charge days | Displays the estimated period and number of charge days. This is calculated by business-day count between delivery date and Est. end date, excluding fixed-cost holidays or shutdowns. |
Act. end date | Displays the actual off-hire date once it's been added. |
Act. period (wks) / Act. charge days | Displays the actual period and number of charge days. This is calculated from the delivery date and Act. end date, minus any fixed-cost holidays or shut downs. |
Hire ref. / Off-hire ref. | Displays any fire references entered on the order |
Total cost (£) | Show the current auto calculated total cost for the item |
