Making adjustments to the onsite contract scope

Add and omit variations can be used for the situation when the quantity or measurement of an item included in your contract scope needs to be changed or updated once your project is live and onsite.

The recommended process within Chalkstring is to always ensure the quantities in your live bill of quantities are as accurate as possible in relation to the required build.

On a re-measure contract, the client will likely do their own measure to check the quantities before agreeing a final account, so it is better not to over claim objective measures.

On a lump sum contract, the quantity applied for remains as defined at tender and the changes made to quantities are either beneficial or detrimental to the project margins. 

How to do to add and omit variations

Option 1

  1. Expand the main Chalkstring black menu bar and click on the ‘Projects’ menu.
  2. Search for and click the 'Project' to add the variation to.
  3. Within the project homepage, click ‘Project hub’ sub menu.
  4. Click on the assessment to be adjusted.
  5. Click on the ‘Bill of Quantities’ menu.
  6. Search for the relevant product using the filters.
  7. Click on the box for the zone and product which requires updating.
  8. Update the figure to reflect actual site measurements and changes.
  9. Repeat process for each zone and product that needs updating. 

The difference from tender will be automatically tracked and presented.

  10. Click on the ‘assessment overview’ menu.

Option 2

  1. Expand the main Chalkstring black menu bar and click on the ‘Projects’ menu.
  2. Search for and click the 'Project' to add the variation to.
  3. Within the project homepage, click ‘Project hub’ sub menu.
  4. Click on the assessment to be adjusted.
  5. Click on the ‘Bill of Quantities’ menu.
  6. Click 'Add zone' in the bottom left
  7. Complete the boxes required to add one zone. This will be a variation zone used to adjust your quantities. Give the zone an appropriate name. E.g. 'Variation adjustments'
  8. Click on each cell for the new zone and product(s) which require the quantities updating.
  9. Update the figure to reflect the adjustments in site measurements and changes. 

For example, if the original measure for a product for the entire assessment at tender was 1000 LM, but now onsite, the actual measure is 950 LM, enter '-50' in the variation zone for that product.

The figures will have updated to reflect any changes made.

The figure changes will be dependant on the type of contact the project is on.

  • On a re-measure contract, any changes will impact on the appropriate budgets and projected total.
  • On a lump sum contract, the changes made to quantities will either beneficially or detrimentally affect the project margins. The quantity and revenue applied for will remain as defined at tender.
