Making adjustments to the onsite contract scope

There may be times when your client will ask you to omit items from your contract scope. If you're on a lump sum contract and your client requests the original sum is still applied for in full but also expects to see the omitted items on your applications, you will need to add a negative variation to your onsite scope. 

How to do to negative variations

Option 1

  1. Expand the main Chalkstring black menu bar and click on the ‘Projects’ menu.
  2. Search for and click the 'Project' to add the variation to.
  3. Within the project homepage, click ‘Project hub’ sub menu.
  4. Click on the sub menu for work package to be adjusted.
  5. Click on the ‘Rate Build Up’ sub menu.
  6. Search for the product to be omitted using the filters.
  7. Ensure the product has been synced to the product template library
  8. Copy the name of the product from the rate build up and take a note of the current price.
  9. Click ‘Add product’.
  10. Search for and click on the same product to add another copy of the product to the rate build up. Chalkstring will tag this product as a variation.
  11. Set the price of the product by clicking on the padlock symbol.
  12. Fix the price to be the same as your contract version by entering the cost in the box.
  13. Click ‘Update Fixed Price’

The duplicate product will be at the same price as the original contract version. 

14.   Click on the ‘Bill of Quantities’ sub menu.

15.   Using the filters, search for the product.

16.   Enter the negative quantities to be omitted for this product. 

Option 2

The project details data will have updated to reflect the changes made by this negative variation.

  1. Expand the main Chalkstring black menu bar and click on the ‘Projects’ menu.
  2. Search for and click the 'Project' to add the variation to.
  3. Within the project homepage, click ‘Project hub’ sub menu.
  4. Click on the assessment to be adjusted.
  5. Click on the ‘Bill of Quantities’ menu.
  6. Click 'Add zone' in the bottom left.
  7. Complete the boxes required to add one zone. This will be a variation zone used to adjust your quantities. Give the zone an appropriate name. E.g. 'Variation adjustments'
  8. Click on each cell for the new zone and product(s) which require the quantities updating.
  9. Update the figure to reflect the adjustments in site measurements and changes. 

For example, if the original measure for a product for the entire assessment at tender was 1000 LM, but now onsite, the actual measure is 950 LM, enter '-50' in the variation zone for that product.

Click on the ‘Assessment overview’ sub menu.

 Chalkstring will calculate the saving being offered to the client as a variation.
