How to manage a tender decision
Once a tender has been submitted to your client and a decision reached, the decision outcome will need to be updated in Chalkstring.
Updating a tender
- Expand the main Chalkstring black menu bar and click on the ‘Projects’ menu.
- Search for and click the 'Project' to be updated.
- Within the project homepage, in the 'Tenders' section, click the tender name for the the tender you wish to update.
- On the tender homepage you will see a bank of three buttons.
- Click the button in the top right corner based on the tender decision that has been reached.
- A tender can either be marked:
- Withdraw – Decision made to not to pursue tender further.
- Rejected – The client did not accept the tender.
- Accepted – The client accepted the tender. This will move the project onsite.
Note: If the client states they are not willing to accept the tender as submitted, but may be willing to award contracts under certain circumstances, please see article ‘How to value engineer assessments based on client feedback’.
Accepting part of a tender
If a tender submitted to your client contains assessments from multiple work packages, and your client accepts one or more of these but rejects others, you will need to retender the accepted packages into their own tender.
1. Expand the main Chalkstring black menu bar and click on the ‘Projects’ menu.
2. Search for and click the 'Project' to be updated.
3. Within the project homepage, in the 'Tenders' section, click the tender name for the the tender you wish to update.
4. On the tender homepage, click 'Withdraw'.
5. Navigate to the work package(s) and assessment(s) the client has accepted.
6. Mark these assessments as complete. For details on marking assessments as complete, see article 'How to create a tender'.
7. Repeat the above steps for each assessment your client has accepted.
8. Add the won assessment(s) to a new tender. For details on creating tenders, see article 'How to create a tender'.
9. Follow the steps outlined above in 'Updating a tender' and click 'Accept'.
For example: If your submitted tender includes a brickwork, roofing, joinery and flooring package, and your client only accepts the brickwork and joinery packages, you won’t have a tender that reflects the accepted scope. Following the steps above, you can withdraw the original tender and create a new one to include the packages that were accepted by your client.
Note: Assessments and work packages can be submitted as individual tenders if required. To do this, repeat the process in the article 'How to create a tender' for each package individually.
Individual tenders can be withdrawn/rejected/accepted as required without needing to withdraw/reject the full tender and retender the packages you client has accepted.
